How is a waiting list generated?
A waiting list can't be created directly through Studio. But a waiting list is created automatically on a specific course whenever a Learner has manually requested an enrollment request through the Catalog to a course who has reached the Maximum Participant limit.
Can I manually create a waiting list?
No that is not possible. The waiting list is strictly connected to the enrollment request that has been initiated manually from a Learner through the Catalog. The waiting list is an additional tool for you to enable Learners to get automatically added to the Participant list if one of the already enrolled Learners decides to disenroll from the course, or if an enrolled Learner has been removed from the course by a course administrator or through an automation.
The waiting list is also a tool for the Learner to get an understanding that the specific course is full and that they are in a waiting list awaiting to be added to the course if there would be any spots that would be re-opened.
Can I add a user to a waiting list once it has been generated? Can I also manually move a Learner from the waiting list to the participant list?
Yes! That you can do. Once a waiting list has been created you can then freely add users to the waiting list as any type of Course Administrator role.
Go to the specific Course > Learners > Waitlist > Add Learner to Waitlist.
You will then be able to add a user that hasn't been enrolled to the course yet, this will not apply to Learners that is already in the participant list.
π‘ Learners that has been added to the waiting list by an administrator will not be able to cancel the pending enrollment by themselves.
From the waiting list you will also be able to move a Learner from the waiting list to the participant list. As that is an administrative action, it will disregarding the Maximum Participant limit. Meaning that even if the Maximum Participant limit is set to ten Learners, you are still able to add more than ten participants to the course.
Are Learners notified if they are moved from the waiting list to the participant list
Yes, the Learner will both be notified by email or platform notifications if the enrollment request would need a manual approval from a course administrator, if they are added to a waiting list due to course is fully booked, or if they have been added to the participant list from the waiting list. You will have full access to overview these messages under System Messages
