How Can I Use Advanced Rules in Learnster to Manage Course Enrollment and User Removal?

Advanced Rules in Learnster allow administrators to automate user management tasks, such as removing users from courses based on specific conditions. This article explains how to interpret rules, use logical operators (AND/OR), and remove users who meet certain criteria.

Understanding Rule Interpretation

When creating rules in Learnster, it’s important to understand how conditions are evaluated:

  • AND Conditions: All specified conditions must be true simultaneously for the rule to apply. For example, if a rule requires a user to be enrolled in a course and have multiple specific custom field values (e.g., Field Y = Value A AND Field Y = Value B), the rule will only match users who meet all these criteria. If users can only hold one value for a field, such a rule will not match anyone. However, if users can hold multiple values, the rule will match those who meet all specified values.

  • OR Conditions: A rule applies if any one of the specified conditions is true. For example, if a rule checks that a user is not assigned to Category A OR Category B OR Category C, the rule will trigger if any one of these conditions is met. Using OR allows for broader matching, while AND restricts the rule to users who meet all criteria.

Removing Users Based on Course Completion

To remove users who have completed a specific course, follow these steps:

  1. Navigate to Automations > Advanced Rule.

  2. Set the condition: "User has completed [Course X]."

  3. Set the action: "Remove user from [Course X]."

  4. Enable the rule and select Run Actions to execute it.

  5. Once the process is complete, disable or delete the rule to prevent it from running again unintentionally.

Important Considerations

  • If you have other automations, such as auto-enrollment or other Advanced Rules, that add users to the course, disable them before running this rule to avoid re-enrolling the removed users.

Best Practices for Using Advanced Rules

  • Clearly define your conditions and actions to avoid unintended consequences.

  • Use AND for strict matching and OR for broader criteria.

  • Always review and test rules in a controlled environment before applying them broadly.

  • Disable conflicting automations to ensure rules execute as intended.

By understanding how Advanced Rules work and following these guidelines, you can effectively manage course enrollment and user activity in Learnster.
