Version 38 - Release 28th of September

Written by Isabella Broman

This release is about getting the right information to the right people, faster. Learners get quicker, smarter access to knowledge — with AI-summarized search results and self-paced programs they can navigate on their own terms. Admins get better access to their own data — clearer reports, more accurate user counts, more control over what reporting shows, and now, HR data that flows in automatically instead of requiring manual setup.

Here's what's new:

  • AI search gets smarter (and goes mobile) — Search results now come with an instant summary and clickable sources, and a reranker ensures the most relevant match always appears first. AI search is also coming soon to the Learnster U app.

  • Self-paced programs — Learners enrolled in a competence can now automatically get catalog access to its courses, and are notified on enrollment and completion — making it easy to set up programs learners can complete in their own order.

  • Complete participant reports — A new "include external records" toggle lets participant reports in Analytics combine internal and external course history in one place.

  • Filter the Users list by status — Admins can now filter the Users list to show only active or only inactive users, with accurate counts for each — making it easier to audit onboarding and clean up stale accounts.

  • Custom fields in enrollment reports — Admins can now add custom fields to all five enrollment-related reports, closing a gap with other reportable areas.

  • Custom HR data via SCIM — Custom attributes like department or employment category can now sync automatically from Entra ID or Okta, removing the need for group-based workarounds.

📅 Rollout starts on 28th of September. If you have any questions or would like specific details about when your environment will be updated, please reach out to your Customer Success Manager.

AI-powered Search: smarter results, now on the go

We've upgraded AI search to get learners to the right answer faster:

  • Instant summaries — Press enter after a search or question, and get a summary of the results right away, with clickable sources for detail or verification.

  • Better-ranked results — Verbatim and context matches are now unified into a single, reranked list, so the most relevant answer always appears first — no more scrolling to find it.

  • Coming soon: AI search on Learnster U app — Learners will soon be able to use AI search from the mobile app, so answers are available even away from the desk.

Share feedback: We’ll keep improving this functionality - try it out, share your feedback, and help us make search experience even better! Leave feedback through the customer support chat or contact your Customer Success Manager.

ℹ️ AI-powered Search is available for Core-plan customers. Super admins are able to turn on the functionality themselves through Studio Settings.

Self-paced programs: learners choose their own path in a Competence

Building on catalog access based on competence, this release lets you set up fully self-paced programs:

  • Automatic catalog access — All learners enrolled in a competence can now automatically get catalog access to its courses — no manual setup needed.

  • Enrollment & completion notifications — Learners are notified as soon as they have access, and again when they complete the competence, keeping them in the loop throughout.

Together, these two updates mean learners can complete the courses in a competence in whatever order suits them — a true self-paced program.

Complete participant reports — internal and external course history, together

Participant reports in Analytics can now include external course records, giving you the full picture in one place:

  • "Include external records" toggle — Pull external course history into the participant report alongside internal Learnster courses, for a complete view of all participants.

  • Fully customizable — Like all Analytics reports, choose your own columns and filters, including custom attributes.

  • Share and export — Download the report or share it directly, so the data goes where it's needed.

Filter the Users list by status

Admins can now filter the Users list by active or inactive status, making it easy to audit who's actually active — for onboarding follow-up, license accuracy, or cleaning up stale accounts.

  • New status filter — Filter the Users list by All users (default), Only active users, or Only inactive users.

  • Accurate counts — The total shown updates to match the filter, so you get a real count of active or inactive users instead of the full environment total.

  • Works with existing filters — The status filter combines with search and any other list filters already in place.

  • Where to find it — In the Users list header, next to the existing search/filter controls.

Custom fields now available in enrolled learners report

Admins can now add their own custom fields as columns across all enrollment-related reports — closing a gap that existed while other reports (like Progress and Students) already supported this.

  • Available on all 5 enrollment reports — Course Enrollment Requests, Waitlist, Team Enrollment Requests, Vendor-wide Enrollment Requests, and Direct Manager Enrollment Requests.

  • Two data sources, side by side — Custom fields can come from the learner's profile or the enrollment record itself, and both can appear on the same report at once (naming conflicts are resolved with a source suffix).

  • Consistent, role-based control — Column visibility is managed per role in Studio, just like every other configurable report.

Custom HR data, synced automatically from your identity provider

SCIM provisioning can now fill in custom attributes on students — like department, employment category, or cost centre — directly from your identity provider. No more modeling each value as an identity-provider group just to get it into Learnster.

  • Any custom attribute, synced automatically — String, number, date, or single-choice attributes can be filled from Microsoft Entra ID or Okta, and stay in sync as values are created, updated, or cleared at the source.

  • Set up once, no Learnster involvement per attribute — HR creates the attribute in Studio, IT adds one mapping in Entra or Okta, and it's live.

  • Works everywhere custom attributes already do — Synced values immediately work in Advanced Rules, Smart Enrollment, tags, and reports, just like a manually entered value.

  • Safe by default — The feature is off until enabled per customer, so existing SCIM customers see no change until it's turned on. Guard rails prevent bad data (invalid values, unknown codes) from blocking provisioning or leaving a user half-created.
